Appointment Cancellation, No-Show & Late Arrival Policy
We understand that emergencies and unexpected circumstances happen, and there may be times when you are unable to keep your child’s appointment. We ask that you provide as much notice as possible when you need to cancel or reschedule.
Our schedule is carefully designed to ensure that children who are sick or need acute care can be seen as promptly as possible. When a patient does not arrive for a scheduled appointment without providing adequate notice, that appointment time cannot be offered to another child who may need care.
No-Show & Late Cancellation Policy
If you are unable to keep your child’s appointment, please provide at least 24 hours' notice whenever possible.
Appointments that are missed without 24 hours' notice will be considered a no-show and will result in a $20 no-show fee. Services may be restricted until the outstanding fee has been paid.
Our no-show policy is based on the family's overall appointment history:
-
3 consecutive no-shows, or
-
5 total no-shows
may result in dismissal of the family from our practice.
No-show occurrences are counted per family, not per child.
Late Arrivals
We understand that getting children ready and arriving on time can sometimes be challenging. However, staying on schedule helps us provide timely care to every family.
To be fair to all of our patients, arriving more than 15 minutes late for a scheduled appointment may require the appointment to be rescheduled. This allows us to avoid unnecessarily delaying patients who arrived on time and helps keep our schedule running as smoothly as possible.
We appreciate your understanding and cooperation in helping us provide timely care to all of our patients.
Insurance Billing & Patient Financial Responsibility
As a courtesy to our patients, The Pediatric & Adolescent Center (PAC) will bill your health insurance company on your behalf. While we are happy to handle the insurance billing process, patients and families remain responsible for understanding their insurance benefits and for any charges not covered by their insurance plan.
Co-Payments
Insurance co-payments are due at check-in for each applicable visit. Collecting your co-payment at the time of service helps simplify the billing process and fulfills the requirements of your insurance company.
Insurance Cards
Please bring your most current insurance card to every appointment. Keeping your insurance information up to date helps prevent billing delays and claim denials.
Secondary Insurance
If your child has more than one insurance plan, please provide all insurance information at the time of service. Insurance plans must be billed in the correct order, with the primary insurance billed first. Incorrect coordination of benefits may result in claims being denied.
Auto Insurance
PAC does not bill auto insurance for medical care related to an automobile accident. Payment will be required at the time of service. We will provide you with the appropriate documentation needed to submit the claim to your auto insurance company for reimbursement.
Combined Visits
If your child is scheduled for a well-child examination and additional medical concerns are identified and evaluated or treated during the same visit, your insurance company may consider the additional services a separate billable service. This may result in an additional co-payment, co-insurance, deductible, or balance due, depending on your insurance plan.
In-Office Procedures & Services
Some procedures and services performed in our office are billed separately and may not be covered by your insurance plan. Examples may include:
-
Hearing tests
-
Vision screenings
-
Nebulizer treatments
-
Developmental screenings
-
Immunizations
-
Strep testing
-
Urine testing
-
Wart treatments
Coverage varies by insurance plan, and you may be responsible for charges that are not covered.
Laboratory Testing
Some specimens collected in our office must be sent to an outside laboratory for additional testing. The laboratory may bill you separately for these services.
Examples include:
-
Urine testing
-
Strep testing
-
Flu testing
-
RSV testing
-
Cultures and other specimens sent to an outside laboratory
Outstanding Balances
We ask that all patient balances be paid promptly. Accounts with balances that remain unpaid for more than 90 days may be terminated from the practice and referred to a collection agency.
Accounts referred to collections may be subject to an additional 35% collection fee, where permitted, and the family will be terminated from the practice.
Please contact our billing department if you have questions about your account or need assistance understanding a balance.
Vaccine Policy
The medical professionals at The Pediatric & Adolescent Center (PAC) firmly believe in the effectiveness and safety of vaccines. Vaccinations are one of the most important ways to protect children from serious and potentially life-threatening illnesses, while also helping protect our pediatric community.
PAC follows the recommended childhood and adolescent immunization schedule established by the American Academy of Pediatrics (AAP). This schedule is based on extensive scientific research and is designed to provide children with protection against vaccine-preventable diseases at the ages when they are most vulnerable.
We are happy to provide information and resources to help families understand the benefits, safety, and science behind recommended vaccines. Our providers are committed to answering your questions and helping you make informed decisions about your child's health.
Our Vaccine Requirement
To provide consistent, evidence-based care and help protect all of our patients, PAC requires children to remain up to date with the AAP-recommended vaccination schedule.
We do not support or follow alternative or delayed vaccination schedules. Because vaccination is an important component of preventive pediatric care, we are unable to serve as the primary care provider for children whose families choose not to follow the AAP vaccination schedule.
Vaccines We Encourage but Do Not Require
While we strongly recommend all vaccines included in the AAP schedule, PAC does not require the following vaccines:
-
Influenza (flu)
-
COVID-19
-
HPV
We strongly encourage families to discuss these vaccines with their child's provider and to make informed decisions based on their child's individual health needs.
If you have questions or concerns about vaccines, we encourage you to speak with your child's PAC provider. We are happy to discuss the recommended vaccines and provide reliable information to help you make informed decisions about your child's care.
